LEGAL ADMINISTRATIVE ASSOCIATE

We are looking for a Legal Administrative Associate to give administrative support to the Legal team by coordinating documents, gathering, and inputting data into multiple computer systems, preparing reports, etc. This role reports to the Legal Operations Manager and performs activities under a moderate degree of supervision. Ideal candidates reside in the Nashville, TN and can easily commute to the downtown area, when needed.

In this role, you will make an impact in the following ways:

  • Prepares documentation for payment of vendors, suppliers and other third parties as applicable; submits documentation and enters request for payments into accounting and e-billing systems; responds to inquiries from accounts payable and payees.

  • Provides administrative support by conducting research, preparing statistical reports, and addressing routine information requests.

  • Gathers, compiles, and verifies information and enters it accurately into documents such as reports, presentations, or forms; and office systems such as databases or spreadsheets.

  • Assists with data collection, data entry and report generation on various departmental related activities. Assists with associate functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings.

  • Responds to, or redirects, routine inquiries from external or internal sources about the organization/department, its activities, or processes so callers/visitors are answered promptly and accurately.

  • Participates as a team member on departmental related business improvement assignments and projects as needed. Performs other routine administrative activities as needed per the established procedures of the organization and/or department.

To be successful in this role you will need the following:

  • A two-year Associate Degree is required, but a four-year bachelor’s degree preferred. Advanced computer skills (particularly Microsoft Office, including Word, Excel and PowerPoint, Outlook, internet searching, electronic filing systems, etc.) SharePoint and Legal experience are preferred.

  • Leadership: Exhibit sound judgement and the ability to make reasonable decisions in the absence of direction. Swiftly refers to the appropriate person when necessary. Must be ale to visualize the big picture and work effectively without constant and direct supervision and guidance.

  • Data Analytics - Discovers, interprets, and communicates qualitative and quantitative data; determines conclusions relying on knowledge of business or functional frameworks; simultaneously applies statistics, data validity, data visualization, and problem-solving approaches to effectively extract meaningful patterns and business insights; presents conclusions and outcomes that enable data driven business decisions.

  • Time Management, Organization, and Change Management – Determines the appropriate allocation of time for each assigned task. Effectively manages the workspace (i.e., keeps a clean and organized office, appropriately handles all paperwork, maintains control over the physical environment, etc.) Demonstrates flexibility in the face of change. Projects a positive demeanor regardless of changes in working conditions.

Compensation and Benefits

Base salary rate commensurate with experience.
