We are looking for a talented Receptionist to join our team in Wetherill Park. For this role you will have to communicate effectively, be able to plan and prioritize work and have a customer centric approach. We are open to both permanent full-time and part-time employees.
In this role, you will make an impact in the following ways:
Management of Reception area: prompt and friendly answering of all incoming calls, on hold used correctly, messages to be clear, concise and relayed promptly, maintain branch telephone systems. Always maintain reception area in a clean and tidy state. Greet customers, visitors and contractors in a friendly and courteous manner, ensuring the correct sign in and induction processes are followed, and appropriate PPE is provided.
Open and distribute daily mail, Fax’s or emails to be distributed promptly, external mail to be folded and ready for posting daily. Maintain correct stock levels of envelopes and mail out documentation.
HSE support: document updating, data entry into applicable databases, local reporting, contractor system. PPE supplies monitored and ordered as required. Support of Evacuation processes and documentation updates.
Accounts Payable: generate purchase orders, process incoming supplier invoices and maintain a register. Review statements and reconcile. Raise new vendor requests in applicable database.
Accounts Receivable: daily processing of incoming cheque and cash payments. Assist customers with account enquiries and redirecting calls as appropriate. Process new customer account applications in the applicable database, ensuring all processes are adhered to. Cash Account reviews completed on a weekly basis, outstanding invoices escalated as required.
Maintain branch petty cash, order and maintain branch stationery, washroom and medical supplies and staff tea supplies as required, monthly report generation, clerical support of tooling/maintenance processes and to the Branch Management Team as required.
Co-ordinate and order catering for Branch functions, customer events, and meetings etc. as required.
Train and assist other team members in the work environment, attend Company funded training programs as required.
To be successful in this role you will need the following:
Essential: Excellent customer service, communication & teamwork skills.
Experience doing administration duties and reception.
Intermediate Microsoft skills (Word, Excel & Access), ability to understand and learn system quickly
Able to performs activities under limited supervision.
